Information you provide
The quote form and the chat quote-request review collect your name, email address, property address, requested services, and any optional company, phone, project details, or service-area drawings you submit. Seasonworks uses this information to review your inquiry, contact you about it, and discuss potential service.
How requests are stored
Submitted requests are stored in the website’s hosted database. Access to the request inbox is restricted to the authorized site administrator. Website hosting providers process information needed to operate the site.
Technical information
The website uses a hashed network identifier and submission time to help limit automated or repeated form submissions and address searches. Hosting systems may process technical information such as IP addresses and request logs. The website does not use third-party advertising trackers. Quote email activity is described below.
Property mapping
The private property office stores service outlines, addresses, estimated areas, and crew notes. Only the authorized site owner can access these records. Customers can optionally attach service-area drawings to quote requests; skipping the map does not prevent submission. Mapbox supplies aerial imagery when a map is opened. Address searches send the entered address to the U.S. Census Bureau, or to Mapbox when the owner enables office Mapbox searches. Public parcel services receive the visible map extent to retrieve reference boundaries. Providers may process technical connection information. The customer map loads only after the visitor chooses to add it; submitted drawings are stored with the private inquiry.
Website assistant
The assistant may provide guided help or, when connected and clearly labeled, AI-generated responses. In AI mode, your chat messages, recent conversation context and draft quote details (including contact and property information you provide) are sent to OpenAI to generate a reply and prepare a request. Chatting alone does not submit a request. You must review the details, agree to be contacted and click Submit quote request. Only the confirmed request details are then saved in the quote inbox; the full conversation is not attached. The website does not save chat transcripts; hosting and AI providers may process technical logs and information under their policies. Do not include sensitive information. You can also use the full quote form without chatting with the AI assistant. Submitted property details may still be used for internal AI-assisted estimating as described below.
Quote review and service agreements
Seasonworks may use OpenAI to prepare internal pricing estimates and site-visit recommendations from submitted property information, service maps, and staff observations. The business sets final prices. Property addresses are sent to address and routing providers to estimate driving time and mileage. Address suggestions may use Smarty’s USPS address data when connected, or Mapbox when enabled. Manual address entry remains available. Quote receipts, decision messages, agreement invitations, and signed agreement copies may be sent through Zoho CPaaS. Electronic agreements retain the agreed text, document identifier and hash, typed signer name, consent, and signing time. A signing link is private; do not forward it to others. You may request paper signing.
Quote email activity and follow-ups
New quote emails may contain a small image and tracked website links. Seasonworks records approximate opens, link clicks, agreement views and signatures to manage the inquiry and decide when to send a follow-up. Image caching, privacy protection and automated link checks can affect these signals; an open is not proof that a person read the message. We aggregate repeated activity within 30 minutes and do not store IP addresses or browser fingerprints in these activity records. Older emails without tracking cannot be measured retrospectively. Use the email preference link to stop automated quote follow-ups, or contact us. Essential service and agreement messages may still be sent. Tracking and follow-ups apply to your service inquiry, not a general marketing subscription.
Staff portal
Authorized staff can see their assigned schedules, property service areas, relevant job notes and site contacts. The portal records server-received start and completion times, the signed-in staff identity, equipment used, reported material quantities and completion notes. The owner can review these records. Material planning may send mapped areas, approved product rates and job instructions to OpenAI. This version does not track a staff member’s device location or save offline job changes.
Employee onboarding and support
JobCycle stores employee support requests, office replies, onboarding document versions, electronic signatures, consent, verified sign-in identity and signing timestamps. Employees can access their own onboarding and ticket records; the owner can manage and review them. Onboarding invitations may be sent through Zoho CPaaS when configured. Payroll tax and bank details are entered separately in QuickBooks Workforce; JobCycle stores only the payroll completion checklist. Do not put SSNs, account numbers, passwords or tax forms in notes or tickets. Signed documents are retained as employment records; contact the office about copies, corrections or a paper signing option.
Your choices
Only provide the information needed for your service inquiry. Do not include payment information or sensitive personal details. To ask about, correct, or request deletion of a prior inquiry, email Info@SeasonWorksKC.com and include your request reference if available.
Service requests
Submitting a quote request allows Seasonworks to contact you about your inquiry. It does not subscribe you to a marketing list or create a service agreement.
